EasyRF access and use
I am trying to reset my password for EasyRF, but I don’t receive an email with a new password?
First, check your spam filter. Second, make sure you wrote your email address exactly as it is registered in EasyRF, including use of upper and lower case.
I am trying to login, but do not receive the token on my email?
Note: This is for those using e-mail in the two-factor authentication.
Check your spam filter as emails with tokens sometimes get stuck here. If this does not work, call hotline on +45 3545 0606 to have your two-factor-authentication reset.
I get a lot of e-mails from no-reply@easyrf.dk – is it possible to change that?
You can subscribe to e-mail notifications for different kinds of events (for example, enrolments and relocations). These can be turned on and off under ‘Profile’ in the side panel.
Screening
My patient fulfils all inclusion criteria but might also fulfil one or more of the exclusion criteria. What should I do?
If the patient fulfils all inclusion criteria, the patient should be screened in EasyRF.
I am screening my patient for INCEPT. What should I do if my patient fulfils all inclusion criteria, but is permanently incapacitated?
If a legal guardian has been appointed, the patient can be included. Otherwise, the patient should be excluded.
Trial conduct
A patient in my ICU is being discharged to the ward (non-ICU) within our hospital. The patient is a participant in INCEPT. What happens then?
INCEPT is an ICU trial, where all interventions are delivered during ICU stay only. Research staff at your ICU remain responsible for obtaining consents, data entry and follow-up.
What happens when a participant is transferred from my ICU to another ICU?
If the other ICU is part of INCEPT, that ICU will become responsible for delivering the intervention, obtaining consents, data entry and follow-up.
What happens when a participant is transferred from my ICU to a ward (non-ICU) in a hospital where the ICU is part of INCEPT?
Research staff at the ICU in the other hospital become responsible for obtaining consents, data entry and follow-up.
What happens when a participant is transferred from my ICU to an ICU that is not part of INCEPT (or to a ward in another hospital where the ICU is not part of INCEPT)?
Research staff at your ICU will remain responsible for obtaining consents, data entry and follow-up even after the transfer.
A participant is transferred to our ICU. The participant is enrolled in an INCEPT-domain that our ICU is not active in. What are our responsibilities regarding this participant?
INCEPT is one trial. Your ICU is only to deliver the intervention in domains that are active in your ICU. However, research staff at your ICU are now responsible for obtaining any remaining consents, continued data entry and follow-up.
Consent
I want to screen my patient for INCEPT. When do I obtain consent?
INCEPT is an emergency trial, where patients are screened and randomised without prior consent. Consent from participants and their proxies should be sought as soon as possible after randomisation
Data entry and event registration
Why can’t I see all the participants at our site in EasyRF?
This is usually because a filter has been turned on in your ‘Participants’ overview (active filters are visible and can be removed in the upper bar of the ‘Participants’ overview).
I have filled in dayforms, but one does not change status to ‘Completed’?
This usually happens, because one or more fields in the form have been marked as ‘Draft’. Check that fields have been filled in correctly, undraft fields (by clicking the bar on the right) and save the form.
When should I use the ‘Unknown’ button when entering data?
The ‘Unknown’ button should rarely be used. However, it should be used when data for a variable is truly non-existent or impossible to retrieve (for example, if plasma creatinine was not measured at baseline).
What happens when a participant is transferred to a psychiatric department within a hospital?
Admissions to a psychiatric ward are considered ‘out-of-hospital’.
